Description
The essential duties and responsibilities of the Contracts Administrator consist of, but are not limited to, the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:
1. Contract Administrative Support
Responsible for post award contract administration and follow-up; holding teams accountable to following and maintaining company standards and processes.
Coordinate with project management, project administration, Estimating, and Accounting, as applicable to ensure contractual requirements are met.
Maintain Contracts repository/records ensuring consistency and standardization.
Monitor On-Time contract deliveries and effectively manage timeline for contract review / negotiation process.
Address subcontractor / service provider / vendor compliance issues timely to avoid risk to the company.
Coordinate with Manager of Contracts and Legal to review and help manage, document, and address complex contract terms.
Responsible for keeping subcontract compliance tracking current.
Assist in compilation of contractually required closeout documentation.
Assist and coordinate with project teams in issuance of sub-tier contracts.
Assist in management and maintenance of master contracts.
2. Insurance Administrative Support
Manage the organization, maintenance, and structure of certificates of insurance of the company submitted to third parties and of third parties submitted to the company, including renewals and retention of appropriate documentation.
Request insurance certificates in accordance with the contract requirements.
Request and track insurance certificates and compliance documents from sub-tiers.
3. Other Duties
Ensure all documentation related to contracts and certificates of insurance is organized, safely stored and maintained on a regular basis.
Prepare periodic reports, data compilation, and analysis for insurance, claims, and legal matters, as requested.
Assist Manager of Contracts and Legal in creating consistent deliverables to the appropriate teams within the company.
Work with the risk management team to create more lean and efficient processes.
Requirements
Education: High School diploma required. Bachelor’s degree in business administration or relevant field preferred.
Experience: Required two (2) years related administrative experience.
Skills: Knowledge of administrative practices and proven ability to maintain confidentiality and manage multiple priorities and deadlines. Knowledge of contract boilerplate terms and conditions preferred.
Physical: Includes sitting, standing, reaching, walking; use of hands, arms, legs, and feet. Must be able to see and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations.
Communication: Must be able to read, write and speak English fluently. Ability to communicate effectively and positively with customers, vendors and employees.
Computer: Proficient with MS Office (Word, Excel, Outlook). Experience with Bluebeam and Smartsheet preferred.
Summary
Provide support related to the organization and management of company-wide construction contracts as well as the administration of subcontracts, professional service agreements, and purchase agreements. Oversee data and document control of the contract process as well as subcontractor compliance. Partner with Manager, Contracts & Legal to protect the company against risk through implementation and maintenance of contract negotiation and compliance practices while conducting yourself in a manner consistent with KHS&S Ideology.
