Essential Accounts Payable Specialist Functions/Qualifications/Education:
Heavy volume data entry
Experience dealing with difficult accounts
Reconcile Vendor Statements, research and correct discrepancies
Code and enter invoices and payments into the accounting system
Prepare and process AP checks and prepares AP mailing
Maintain basic knowledge of GL chart of accounts
Maintain AP reports, files, vendor list, reconcile monthly vendor statements. Set up new vendors including payment terms
Communicate with vendors and resolve open issues, disputes, and inquiries
Work with corporate and field operations groups for AP documentation and approval
Assists in monthly closings and ensure all invoices are entered by the closing deadline
Date stamp all incoming mail on a daily basis to ensure timeliness
Prepare weekly disbursement lists in excel spreadsheet
Code credit card transactions with GL and jobs in excel spreadsheet, gather credit cards receipts, upload credit card detail to the accounting system
Prepare annual 1099 tax forms
Support accounting personnel
Performs other accounting duties as assigned
Associates Degree in Accounting or Business- related field
2+ years Accounts Payable / Accounting-related field
Knowledge of MS Office (Word, Excel, Outlook, Internet Explorer)
Basic knowledge and understanding of accounting principles/practices
Experience with accounting software a plus
Ability to multi-task in in a fast paced environment
Organized – prioritizes work activities and time efficiently
Detail oriented – demonstrates accuracy and thoroughness to ensure work quality
Strong initiative and ability to problem solve
Dependable – consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance
Flexible schedule during monthly financial closes
Detail-oriented with the ability to work independently to meet deadlines, or as a team member.
Strong interpersonal skills and ability to communicate clearly and concisely both verbally and in writing to all levels within the organization.
Ability to work under pressure and with multiple deadlines.
