Essential Receptionist Functions/Qualifications/Education:
Greet, welcome, and direct guest accordingly
Answers, screens, and forward incoming calls to the appropriate team member or branch
Notify team members of guest arrival
Provides general information to customers and guests with information from employee and department directories kept updated
Manage front desk sign in sheet and keep company phone number extension list up to date
Refers non-routine, sensitive, and/ or complex requests for information and other inquiries or complaints to upper management
Receives, sorts and distribute daily mail and deliveries
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Assists in the ordering, receiving, stocking and distribution of office supplies.
Order office supplies and keep inventory of stock
Order snacks for entire office
Restock breakroom every morning
Keep updated records of office expenses and costs
Assists with other related clerical duties such as photocopying, faxing, filing, and booking meetings.
Keeps a safe and clean reception area
Manage Conference Room Calendars. Print and distribute conference room calendars every morning.
Manage guest security badges distribution and log sheet.
Must have 1+ years of office/administrative experience.
Excellent interpersonal, oral, and written communication skills.
Teamwork oriented attitude.
Detail oriented and ability to multi-task.
Must be proactive and have the ability to work independently.
Proficient knowledge of basic software applications such as Microsoft Word, Excel & PowerPoint.
