Description
The essential duties and responsibilities of the Payroll Clerk consist of, but are not limited to, the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:
1. Field Payroll (Union)
Maintain confidentiality of all payroll information.
Enter timecards and reimbursements into payroll system, posting changes in tax status, and miscellaneous changes.
Compile and print timecards received and manage weekly checklist.
Distribute payroll checks to proper geographic and project locations.
Respond to employee requests for information/reports, as needed.
Sort, scan and electronically file timecards weekly.
Scan reimbursements weekly.
Distribute payroll mail.
Coordinate and participate in field union audits.
2. Personnel Files
Set up and maintain field employee personnel files.
Filing of all field related payroll information (i.e., garnishments, unemployment, new-hires, timecards etc.).
Annual and quarterly purging of terminated field employee’s payroll records.
3. Other Duties
Pull rehire and layoff folders, as necessary.
Check new hire employee entries for accuracy.
Manage retention of form I-9 and annual purging of terminated field employees into current year.
Receive union notices (arrears, discharged and school) and forward to appropriate supervision.
Complete EDD unemployment verifications and process EDD quarterly audits.
Process all verifications of employment for field personnel.
Translate necessary documents, as needed.
Attend seminars/educational training programs as required.
Perform any other related or unrelated, unassigned, unspecified duty that may be needed from time to time.
Requirements
Education: Requires high school diploma
Experience: Requires 2 years’ experience with data entry. Experience in payroll or accounting preferred.
Skills: Proven ability to maintain payroll files and the ability to create and establish various reports for the department. A good math/accounting aptitude. High attention to detail, aptitude for learning new things and must be able to work under pressure.
Physical: Includes sitting, standing, reaching, walking; use of hands, arms, legs, and feet. Must be able to see and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations.
Communication: Must be able to read, write and speak English fluently. Ability to communicate effectively and positively with employees.
Computer: Proficient with MS Office (Word, Excel, Outlook, PowerPoint).
Summary
Performs tasks to establish and maintain employee/payroll records. Performs a variety of routine office/clerical duties such as filing, coding, posting and data entry related to payroll, while conducting yourself in a manner consistent with KHS&S Core Ideology. As an employee owner, act in the company’s best interest and in support of the organization’s overall goals and objectives.
