The Administrative Assistant is responsible for project administration to achieve project profitability and schedule goals.
POSITION RESPONSIBILITIES AND DUTIES:
Coordinate and perform a range of division/department support activities; serve as a liaison with other divisions/departments.
Compose and edit letters, memos, reports, procedures, etc. as required.
Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements.
Attend and document project meetings.
Maintain accurate, standardized electronic filing system.
Distribute documents to vendors and maintain document logs.
Prepare and process contract documents and templates.
Input commitment data to cost reporting system.
Assist in compiling billing documents, lien releases, monthly contract billing, answer vendor/subcontractor billing questions, and manage compliance.
Code and process vendor invoices.
Run miscellaneous errands; pick up deliveries as required or directed.
Maintain professional manner with clients, employees, onsite visitors, subcontractors and vendors.

Work within SRE and/or SOLV’s business processes and ensure an efficient working environment
Maintain strong industry relationships

Project completed on schedule

MINIMUM SKILLS AND REQUIREMENTS:
High School Diploma or equivalent
Two years of business or secretarial school, or the equivalent combination of training and experience
Minimum two years secretarial or clerical experience in addition to above training
Ability to keyboard 45 wpm accurately
Proficient in knowledge and use of word-processing and spreadsheet software
Working knowledge of general office procedures and office machines
Proficient in English verbal communication skills, including professional telephone manner
Proficient in written communications skills, including business writing skills
Reliability, dependability and flexibility
